Data addendum
Last updated 7th November 2026 (Europe/London).
Who this addendum is for
This addendum is between Golf Day Caddy and the organiser of a golf day (the organising committee or club using the service). It sits alongside the privacy notice and terms of use.
It explains how personal data collected for that golf day is handled when the organiser uses Golf Day Caddy.
Who is responsible
The organiser of a golf day is typically the controller of the personal data collected for that event. That includes booking requests, golfer names and handicaps, dietary requirements, sponsor details, shop and food-cart orders, scores, scorecard photos and the volunteer rota.
Golf Day Caddy processes that data only to provide the service the organiser has asked for.
Golf Day Caddy is the controller of the platform owner account and of the Golf Day Caddy marketing and coming-soon website.
What we process
We only process what the service actually uses. Depending on how an event is run, that can include names, email addresses, phone numbers, notes, packages, handicaps, dietary requirements, meal choices, sponsor and shop details, food-cart orders, scores, scorecard photos, uploaded logos and images, volunteer rota details, and the technical records needed to keep the service secure.
The privacy notice describes this in more detail.
How we use it
We use event data to run the golf day the organiser has asked us to support: bookings and tee times, sponsor signs, the shop, the food cart, scoring and the leaderboard, the volunteer rota, booking emails, and the lists the organiser needs (including dietary details for the kitchen when those are collected).
We do not sell personal data. We do not use it for advertising.
Who we share it with
If the club has connected Stripe, card payments are taken as direct charges on the club’s own Stripe account. Golf Day Caddy never takes an application fee and never holds the money. We do not store card numbers. Stripe handles the card details.
If booking emails are sent, we share what is needed with the email provider. Booking emails are sent from a no-reply address with Reply-To set to the organiser.
Sponsor names, sign wording and tee-sign logos may be shared with the sign writer who prints the tee-box signs.
Where it is stored
The service is hosted on Golf Day Caddy’s existing UK-facing website. Data is stored in a SQLite control database and one SQLite database file for each event.
We take reasonable steps to keep data secure. We do not describe those steps in detail here.
How long we keep it
We keep account and event data while the club and event remain on the service, and for as long as it is needed to run that golf day. We have not set a separate automatic deletion timetable. Organisers can change or remove much of what they have entered. The organiser can ask us to correct or delete event data.
What the organiser agrees
By accepting this addendum the organiser confirms that:
- they are authorised to accept it for the organising committee or club
- the organising committee is responsible for the golf day, the details they publish, the personal data they collect, and how they treat golfers, sponsors and volunteers
- they will follow the law that applies to their event, including where the day includes children or young people
- golfers and sponsors are pointed to the privacy notice and terms of use when they use the public forms
If someone asks about personal data collected for the golf day, they should start with the organiser. Golf Day Caddy will help the organiser where we can.
Changes
We may update this addendum. The date at the top of the page will change when we do. Organisers will be asked to accept the updated documents before they continue.
How to contact us
Contact details will be added when the owner email is set up.
